Opening a matter, and the check nobody remembers to run

A matter takes its number from your own document series, and a typed matter numbers from its type's prefix. Opening one searches for conflicts across case parties, clients and sales leads by name, by Arabic name, by identity number and by commercial registration number, then writes the verdict into the matter's timeline as a permanent entry. That second half matters more than the search itself, because a conflict check you cannot prove you ran is not a conflict check. The search runs with the user's own permissions and never as a privileged reader, so it cannot quietly become a way to see another firm's clients. Recording a judgment as served starts two deadlines without anybody typing a date. A power of attorney is registered with its notary date and its expiry. The expiry defaults to the notary date plus two years and is then stored explicitly rather than recalculated, because firms meet special terms and a calculated date would quietly misstate them. The expiry list is indexed, so which wakalas lapse in the next month is a fast question rather than a cabinet and an afternoon. A power of attorney that has quietly expired, discovered at the door of a hearing, costs a client and a reputation in that order, and it is precisely the thing a general purpose case tool built somewhere else has never heard of.

Fees, disbursements and the retainer

Money on a matter rides the ordinary invoice, which means one numbering series and one debtors ledger for the whole office rather than a legal system sitting beside an accounting system and disagreeing with it monthly. Six categories arrive seeded in both languages: consultation, case fees, contract drafting, notary and attestation, arbitration, and retainer. A retainer is held as a client advance against the named matter and credits a liability account rather than becoming revenue on the day it arrives, which is both the correct treatment and the reason VAT is not charged on money you have not yet earned. Court fees compute from an editable schedule, seeded with the civil and commercial rule at 2 percent of the claim with a minimum of 10 and a cap of 50 rial, and your own row overrides the default on the day the ministry revises it.

Oman's courts, arriving seeded

Six court levels arrive seeded and bilingual, including the Investment and Commerce Court and arbitration alongside the primary, appeal, supreme and administrative courts, with five circuits: commercial, civil, criminal, personal status and labour. The stage machine is data rather than code, so sub statuses such as filed, pleading, awaiting judgment, under appeal, won, lost and settled sit under the core statuses and the permitted moves between them are rows a firm can change. Cancelling a typed matter is refused by the database unless a reason is recorded. Advocates carry their roll grade under the Advocacy Law RD 41/2024, from trainee through primary, appeal and supreme to consultant, with the MJLA number and the licence expiry on the staff record, and that licence expiry raises an alert 30 days out like any other document that expires.

Three things to know before you trial it

There is no time recording and no hourly billing. Billing is fixed fee invoicing plus retainers held as advances, so a practice that bills in six minute units will not find what it needs here today. There is no segregated client trust ledger and no three way reconciliation; client money is held as a client advance inside the firm's ordinary books, against the matter it belongs to, and that was a decision rather than a gap. And there is no client portal: what a client receives is a link to an invoice or a statement that opens on their phone behind a check on the last four digits of the number you hold for them.
